Lima Caterers: Turn Every Event Into a Week of Social Posts

Your best content happens on Saturday night and is old by Tuesday. Here's how automated social media turns each catered event into a week of posts you approve from your phone.

Most caterers I talk to have the same problem with social media. Their best content happens on a Saturday night in a reception hall. By the time the van is loaded and the pans are washed, posting about it is the last thing anyone wants to do. By Tuesday the photos feel old. A month later, the Facebook page still shows last year's Thanksgiving menu.

AI can fix that, and the fix is smaller than most people expect.

The industry is already moving this way

At this year's Cater+Event show in Los Angeles, Catersource's recap of the top catering trends said Instagram and TikTok have raised the stakes on visual drama in food. Dishes are now designed to be photographed and shared. The conference also held a session on using AI to write social posts and marketing copy for small catering and event businesses on a tight budget.

Most businesses around here haven't started. This year the Federal Reserve Bank of Minneapolis reported that fewer than 10 percent of accommodation and food service businesses said they use AI at all. Across all businesses, the share was about one in five. For a caterer in Allen County, that gap is the opening. You don't need to be clever online. You only need to show up every week.

One event in, a week of posts out

Here's how it works. After every event, someone on your crew drops 10 to 20 phone photos into a shared folder and answers three questions: what was the event, what was served, and what did the client love? That takes about two minutes in the van.

The system handles the rest:

  • Writes a recap post in your voice, based on your past captions so it sounds like you and not an agency
  • Picks one standout dish for a close-up post a few days later
  • Turns the event menu into a "here's what a spread like this looks like" post that points to your inquiry form
  • Watches your booking calendar and writes a post when a date opens up
  • Places everything on the content calendar and publishes it to Facebook and Instagram on schedule

You approve each batch with one look at your phone. If you don't like a post, you edit it or delete it. Nothing goes out without your OK.

That step matters. AI posts that nobody with taste reviews start to sound alike fast, and people scroll right past them. This works for caterers because the raw material is real: real food, real rooms, real clients. The AI isn't making anything up. It does the writing, resizing and scheduling you never get to between prep and load-in.

Your menu and open dates stay current

This is the part caterers tend to overlook. The same setup that posts event recaps also keeps your seasonal menus and open dates in front of people.

In mid-October, that means the holiday push: office parties, family gatherings and open houses. You update the holiday menu once, and the system builds posts around it through December. When a December Friday books, it stops advertising that date. If that booking cancels, the date goes back into the rotation. Your social pages stop lagging three months behind your real business.

For a catering business, we deliver three things. First, a social automation spec: which accounts, what kinds of posts, how often, and who approves them. Second, a content calendar built around your busy seasons, including holidays, graduation open houses and wedding season. Third, the generation pipeline itself, which takes your photos, menus and calendar and turns them into finished, scheduled posts.

We also build it to act only when something happens, like new photos landing in the folder or a change on your calendar. It doesn't sit on a timer checking for updates every few minutes, so a quiet week costs you nothing extra.
