The call you missed while the mower was running
It's late September in Allen County. You've got a crew on a commercial property off Elida Road, you're on a zero-turn yourself, and your phone buzzes in your pocket for the third time in an hour. You can't hear it. Even if you could, you'd have to shut down to answer. When you check at lunch there are two voicemails and one number that didn't leave a message.
That third caller probably wanted a fall aeration and overseeding quote. They probably also called the next company on the list.
Fall is when this hurts most. Aeration, overseeding, leaf cleanup and winter prep requests all land in the same few weeks you're busiest in the field. Lawn & Landscape's 2026 Tech Report found that 73% of contractors say they rely on technology more today than they did five years ago. For a small operation, the phone is one of the best places to put some of that technology to work.
What an AI phone agent does on a fall quote call
Paglow's Phone Agent is an AI voice assistant with its own phone number. You put that number on your trucks, yard signs and Google listing, or forward your existing line to it while you're in the field. When someone calls, it picks up on the first ring, holds a normal conversation and asks the questions you would ask.
For a fall aeration and overseeding call, you'd set it up to collect:
- Name, callback number and property address
- Which services they want: core aeration, overseeding, leaf removal or a fall fertilizer application
- Rough lot size, plus any fence, locked gate or dog in the yard
- Whether they're an existing customer or new
- A time for you to stop by and measure, picked from the windows you've set
Then it books the estimate visit, and the full call transcript goes into your CRM. At lunch you aren't replaying voicemails and writing addresses on the back of a fuel receipt. You're reading a clean list of who called, what they want and when you're seeing them.
It also takes the calls that eat your time without making you money. Are you still mowing in October? Do you haul the leaves away or mulch them? Do you come out to Shawnee Township? You write the answers once, and the agent gives the same answer every time.
Set it up so it sounds like your business
The setup is what decides whether this helps you or annoys your customers. Here's what I'd tell any lawn care owner in Lima.
Give it your real service area. If you don't go past Wapakoneta or Delphos, say so, and have the agent tell out-of-area callers politely. That's one less wasted callback.
Don't let it quote prices you can't stand behind. Aerating a quarter-acre lot in town isn't the same job as aerating two acres out in the county. Have it book the estimate, or give a "starting at" range you're comfortable with, and keep the final number for yourself.
Have it say up front that it's an AI assistant. In 2024 the FCC ruled that AI-generated voices fall under the same federal rules as robocalls, and it proposed requiring AI calls to be disclosed. Those rules target outbound calls, and an agent answering your incoming line is a different situation. Still, being straight with people costs you nothing. Most callers just want to get on the schedule.
Build in a hand-off for urgent calls. If someone calls about a broken irrigation line or a limb on their roof, the agent should text you right away instead of leaving it in the CRM for later.
Then do some quick math. Think about what one aeration-and-overseeding customer is worth to you. Not just this fall, but the spring cleanup, a season of mowing and next year's aeration that often follow. Now count how many of those calls go to voicemail between mid-September and Thanksgiving. The agent also answers at 7 p.m., when homeowners are standing in their yards looking at thin grass and you're finally home for dinner. That's often when people decide who gets the job.
